About the team Trusted Access helps eligible customers access and use advanced AI capabilities with appropriate safeguards. Within User Safety & Risk Operations, we connect customer onboarding, eligibility review, access provisioning, and support into a service customers can navigate with confidence. We work with Product, Engineering, technical support, regional operations, and customer-facing teams to resolve difficult access problems and improve the systems behind them. Our work combines sound judgment on individual cases with better products, clearer guidance, and automation that reduces unnecessary friction. About the role We’re looking for a senior operations leader to own the Trusted Access operating strategy and lead a team of risk-operations specialists. You will set priorities across programs, build a reliable customer access service, and hire, manage, and develop your direct reports. This role combines program ownership with formal people management. You will establish shared commitments with technical support and regional escalation leaders, who manage their own teams, and bring those groups together around customer outcomes. You’ll stay close enough to complex cases to challenge assumptions while giving specialists the ownership and capacity to fix recurring problems. Success means customers reach the right access outcome with clear communication, teams make consistent decisions, and the service scales with less avoidable escalation and manual work. In this role, you will: - Own the operating strategy and roadmap across Trusted Access programs, translating customer needs and organizational priorities into clear service commitments, ownership, and investment decisions. - Build a coherent customer journey from application and eligibility review through approval, provisioning coordination, and confirmed access, including appeals and subsequent access changes. Establish clear handoffs and route exceptions to authorized decision-makers. - Hire, coach, and develop your team. Set expectations, delegate meaningful ownership, give direct feedback, address performance gaps, and build the capabilities needed as programs grow. - Make capacity and prioritization decisions across urgent customer needs, launch readiness, and lasting improvements. Coordinate regional coverage, vendor support, and backup with partner teams while protecting time to eliminate recurring work. - Lead consequential customer escalations, bringing incomplete or conflicting evidence into a clear decision process. Align owners on the next action and ensure customers receive accurate updates and a clear resolution. - Turn support patterns into a prioritized roadmap with Product and Engineering: improve onboarding, provisioning workflows, tooling, self-service, and AI-assisted operations. Validate that changes work before expanding them. - Establish measures of service health and decision quality. Distinguish fast responses from actual resolution, investigate persistent delays, and use evidence to change priorities. - Prepare new programs and customer channels for launch and scale. Align support responsibilities, review standards, customer guidance, and technical dependencies; make readiness gaps and tradeoffs clear to leadership. You might thrive in this role if you: - Have built and run complex customer support, onboarding, access, risk, or service operations, with measurable improvements beyond handling more volume. - Have formally managed people through hiring, development, difficult feedback, and performance decisions, and can show how your leadership increased the team’s capability and ownership. 5+ years of management experience preferred. - Can make defensible tradeoffs among customer commitments, safeguards, service quality, and capacity, even when stakeholders disagree or the evidence is incomplete. - Have led work across teams you do not manage, resolving ownership gaps and negotiating commitments that hold up in execution. - Are analytically and technically fluent enough to diagnose workflow failures, evaluate automation, and partner effectively on product and provisioning changes. - Communicate with precision and empathy, from explaining an access blocker to a customer to presenting a difficult investment decision to leadership. About the role We’re looking for a senior operator to own and improve the customer access workflow for an assigned Trusted Access program. You will connect application and eligibility review, approvals, appeals, provisioning coordination, and support so customers can reach a clear, reliable outcome. Your primary focus will be improving how the program works. You’ll use complex customer cases to uncover recurring problems, then deliver product, automation, self-service, and support-process improvements. You’ll also own difficult eligibility and access escalations, helping customers and account teams understand what is blocking progress and driving the right partners toward resolution. This role combines independent workflow ownership with hands-on operational judgment. Success means customers reach usable access with fewer avoidable delays, decisions remain accurate, and the workflow runs reliably through the people and systems you enable. In this role, you will: - Own the operational workflow for an assigned Trusted Access program, from application through confirmed access and subsequent changes. Identify where customers get stuck and prioritize improvements by customer impact, risk, and effort. - Investigate complex eligibility, onboarding, and access cases. Reconcile approval, verification, account, workspace, and provisioning records; apply approved requirements within your authority and bring exceptions to the appropriate decision-maker. - Drive customer and account-team escalations through resolution. Establish the blocker, maintain clear ownership across handoffs, communicate realistic next steps, and confirm that the customer can use the intended capability. - Turn recurring case patterns into product and process changes with Product, Engineering, and customer-facing partners. Define the problem and requirements, help validate the fix, and measure whether it reduced repeat contacts or manual work. - Build guidance that makes reliable resolution repeatable: support playbooks, help-center content, training, and quality checks. Enable frontline and outsourced support teams to handle more cases accurately and independently. - Use data to distinguish fast ticket closure from better access outcomes. Diagnose delays, rework, and decision errors, and use the findings to refine your workflow and priorities. - Develop and validate AI-assisted workflows and automation with technical partners. Establish checks, human review, and fallback paths appropriate to the decisions involved. - Maintain clear documentation and qualified backup across programs. Share what you learn so improvements continue working when another specialist takes ownership. You might thrive in this role if you: - Have independently owned and improved customer support, onboarding, access, risk, or product-operations workflows in a complex service environment. - Can show durable improvements you delivered through product changes, self-service, automation, or partner enablement, with evidence of adoption and better customer outcomes. - Exercise sound judgment when records conflict, requirements are unclear, or customers need urgent help. You can separate what the evidence supports from what still needs an authorized decision. - Are comfortable investigating across customer, account, approval, and access systems, and can translate operational problems into clear requirements for technical partners. - Use operational data to identify root causes, prioritize work, and evaluate whether a change improved the service. - Communicate with clarity and empathy under pressure, and can explain a difficult access decision or unresolved blocker without making unsupported commitments. - Build trust across teams you do not manage and follow through from a proposed improvement to reliable day-to-day operation. About the Team Critical Harm Operations sits within User Safety & Risk Operations and builds enforcement systems for Frontier Risk and Material Harm that are accurate, fast, defensible, and built to scale. We turn policy intent into operational readiness, review standards, quality systems, escalation paths, automation guardrails, and durable cross-functional operating models. About the Role We are looking for an exceptional Program Manager to help build durable operating systems and run some of OpenAI’s most complex safety operations. The core need is a high-agency operator who can take an ambiguous problem, create the right structure, align cross-functional partners, and drive the work through execution. This role will move across Critical Harm priorities as needs evolve. You may step into operationalizing national security or violent-activities workflows, support wellbeing and Frontier Risk initiatives, or help scale programs such as Trusted Access. Deep domain expertise is helpful but not required; the strongest candidates will learn quickly, exercise excellent judgment, and make complex programs move. This Toronto-based role is currently remote and is expected to transition to an in-office arrangement by end of year. In this role, you will: - Lead strategic operational builds across priority workflows from problem statement to implemented operating model, including scope, owners, milestones, risks, success measures, and execution cadence. - Translate policy, safety, technical, legal, and operational constraints into workflows, requirements, playbooks, escalation paths, and decision-making structures that teams can execute. - Coordinate with User Ops leadership, Product Policy, Integrity, Safety Systems, i2, Legal, Product, Engineering, Support, vendors, and other partners to resolve dependencies and keep critical work moving. - Move in and out of workflows as priorities shift—standing up new programs, stabilizing operations, improving handoffs, and transitioning durable ownership to the right team. - Use operational data and frontline signals to identify bottlenecks, quality gaps, capacity needs, ownership failures, and the highest-leverage interventions. - Drive high-priority escalations and cross-functional decisions to closure, ensuring the right context, accountable owners, clear next steps, and durable follow-up. - Create the mechanisms that make programs run well: roadmaps, decision logs, status updates, risk registers, operating reviews, and crisp executive communication. - Identify where AI tools, automation, lightweight systems, or simpler workflows can improve speed, consistency, and scale while preserving appropriate human judgment. You might thrive in this role if you: - Have 8+ years of experience in program management, strategy and operations, product operations, technical program management, trust and safety, support operations, risk operations, implementation, or a related field. - Experience in cybersecurity, biosecurity, or related risk and safety operations is a plus - Have a track record of taking complex, ambiguous work from problem framing through launch and scaled operation. - Are unusually organized, sharp, and execution-focused; you can manage many moving pieces without losing the few decisions that matter most. - Build trust and drive alignment across teams without direct authority, while keeping ownership, accountability, and escalation paths clear. - Are technically and analytically fluent enough to reason about data flows, dashboards, tooling gaps, automation, and failure modes—even if you are not writing production code. - Communicate clearly with technical, operational, policy, and executive audiences, especially when tradeoffs are sensitive or evidence is incomplete. - Operate calmly and flexibly in a fast-moving environment, learn new domains quickly, and are comfortable handling high-severity or sensitive work. - Experience with vendor operations, QA programs, launch readiness, workflow automation, or AI-assisted operations. Nice to have: - Experience in customer support or other high-stakes scaled operations. - Deep expertise with national security, violence or other severe-harm domains.
